Data Quality & Systems Coordinator
Path Home empowers homeless families with children to get back into housing and to stay there. Our programs include Homeless Prevention Family Village Emergency Shelter, Rapid Re-Housing & Housing Retention, and Basic Income Guarantee. Annually, Path Home provides culturally competent, trauma-informed services to over 2,000 kids and parents from more than 550 families. Path Home is a growing organization with significant expansion plans in the next 3-5 years as we build affordable housing and wrap-around services on our Family Village Campus in the Lents neighborhood.

Job Title: Data Quality & Systems Coordinator (Temporary through November 30, 2027)
Reports to: Chief Operating Officer
Job Specifics: Full time (40 hours per week), salaried
Compensation: $75,000-$85,000 annually, depending on experience
Benefits: Full health and vision insurance (Regence), and dental insurance (Delta/Willamette).
Option to add family at employee's pre-tax expense. Path Home will contribute an amount equal to 2% of employee's total annual salary into a Simple IRA. Employee Assistance fund, paid Sabbatical after 7 years, and paid bereavement leave.
Paid Time Off: Three weeks of Paid Time Off (120 hours) plus one week of paid sick time (40 hours) annually. Path Home also recognizes 11 paid holidays throughout the year.

Overview:
The Data Quality & Systems Coordinator is a hands-on role responsible for data quality, administering key organizational data systems (including Quickbase and HMIS), and supporting program reporting across the organization. This role works closely with Path Home's program, development, and finance teams to improve data quality, maintain systems, and support reporting needs. The Data Quality & Systems Coordinator plays a key role in implementing and monitoring systems that support Path Home's strategic goals as we grow and expand our operations.
Specific Job Duties:
Data Assurance & Quality
- Assist in the development and implementation of data standards, definitions, and protocols
- Conduct routine audits and quality assurance checks to ensure accuracy, completeness, and consistency across systems
- Identify and resolve duplicate/incomplete/inaccurate/outdated records
- Support teams and departments in following established data entry practices
- Promote data integrity and accountability through ongoing monitoring and continuous improvement efforts
Systems Administration
- Administer day-to-day database and system functions, including user access, permissions, and configuration settings
- Troubleshoot user/system issues, providing timely support and resolution
- Coordinate with software vendors/consultants, and internal users to address system enhancements, updates, and technical challenges
- Support systems integrations, workflows, and process improvements to increase efficiency and data reliability
- Monitor system performance and recommend improvements to optimize functionality and user experience
Training & Change Management
- Train staff on data entry standards, system use, and established organizational workflows
- Develop and maintain standard operating procedures (SOPs), user guides, and training materials
- Support onboarding and ongoing training and technical assistance for new and existing staff
- Increase staff adoption and consistency by reinforcing systems, processes, and data standards
Reporting & Monitoring
- Design, build, and maintain system dashboards and standard reports
- Support program, finance, and development teams to meet reporting needs
- Support continuous improvement by helping teams use data to measure outcomes and inform strategic decisions
Cross-Functional Coordination
- Translate operational needs into effective system solutions and process improvements
- Serve as a point of contact between program and finance teams to align data practices and reporting needs
- Provide accurate and timely data to support organizational planning and decision-making
- Collaborate across teams to ensure data consistency
- Provide accurate, timely, and accessible information to support planning, compliance, and strategic decision-making
- Participate in system improvement projects and process enhancement efforts
Qualifications:
- Minimum of 2 years of experience in data entry, database administration, quality assurance, program operations, or a related field (specifically systems like Quickbase, WellSky or Bitfocus Clarity, Apricot, and Unite Us.)
- Proficiency with Microsoft Office Suite, particularly Excel, and experience using databases, case management systems, CRM platforms, HMIS, or other cloud-based data management tools. Experience with Quickbase or similar low-code database systems is preferred.
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines.
- Experience maintaining accurate records and ensuring data quality and consistency across systems.
- Ability to identify discrepancies, troubleshoot data and process issues, and support continuous improvement efforts.
- Strong written and verbal communication skills, with the ability to collaborate effectively across teams.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Experience generating reports, tracking performance measures, or supporting compliance and reporting requirements preferred.
- Commitment to equity, inclusion, and trauma-informed approaches in the workplace.
- Demonstrated ability to learn new technology and adapt to changing systems and processes.
- Experience training, supporting, or assisting staff in the use of databases, systems, or organizational processes preferred.

Work Environment:
The Data Quality & Systems Coordinator will work on site in a shared office space.
